Enterprise Automation Playbook
A practical sequence for choosing, designing and validating an enterprise workflow before it is released to users.
1. Start with a specific business process
Choose a workflow with a clear owner, trigger, participants and outcome. Record the current steps, systems involved, delays, exception paths and information required at each step. Avoid automating an unclear process before agreeing how it should work.
2. Define success before building
Agree on observable measures such as completion time, rework, missed approvals, handoffs or manual data entry. Capture a baseline where possible and decide who will review the results after release.
3. Map roles, data and approvals
Document who can submit, approve, view, change or close each record. Identify sensitive fields, retention needs, audit events and what should happen when an approver is unavailable or a request is incomplete.
4. Design integrations and failure paths
For each connected system, document the data exchanged, authentication method, timeouts, retry rules and ownership of failures. Test duplicates, partial outages, invalid data and recovery instead of testing only the happy path.
5. Build and test in controlled stages
Validate configuration in a non-production environment with representative users and data. Include accessibility, permissions, mobile layouts, auditability and regression checks. Keep a rollback plan and confirm support ownership before release.
6. Measure, learn and improve
After release, compare the agreed measures with the baseline, review exceptions and gather user feedback. Treat workflow automation as an operational capability that needs ownership and periodic review, not just a one-time build.
